How to keep everyone on the same page during the project
Keeping everyone on the same page is very important practice you have to follow during your project life cycle, because missing any stakeholder or isolating any stakeholder is threating your project to be delayed or even be terminated. Here are some actions to keep this practice on÷
1- Planned Updates: Using weekly reports and/or weekly meetings where you can state / discuss achieved milestones and planes for next week and detailing any risks / issues / dependencies which might affect next week plans, in this way you are setting everyone expectations about the progress of the project.
2- Status Report: It acts like weekly reports but on the whole project stating all key features achieved and plans for next duration, and stating all project risks / issues / dependencies.
3- Requirements Review Workshop: Do not keep the requirements on the shelf after writing it by system analyst, bring all key business users together and all relevant stakeholders in a meeting and go through the requirements making sure requirements still valid and as expected when the requirements gathering started.
4- Design Review Workshop: There are two types of design which are Technical Design and Business Process Design, again gather all relevant stakeholders and key business users to review the business process or technical design and make sure that business process is still compatible with the requirements.
5- Test Plans & Scenarios: Share the test plans with the business users and get their feedback, by having this practice you will make sure that you covered all important scenarios and exceptions that might arise after going live.
6- User Training before UAT: Give actual users soft training to the system so they get familiar to the system and how to use it before going into UAT session, in this way you get the first impression comments so you can cover it early enough before UAT sessions. During all above actions get sign-off and acceptance for each action to protect you throughout the project.
