How to manage your project when it is late
Any project has probability to get late due to different reasons like lack of resource in the middle of the project, bad estimations, used technology was not selected properly or team is not performing well as expected.
Regardless why your is late, you have to take immediate actions to return back your project on track and on budget as much as you can, and here are 5 actions you can perform to do so:-
1- Bring the team together: you and your team have to face the fact, prepare a list of all outstanding activities and risks which converted to issue because they were not resolved on time and due that we are getting late because we spent extra time to resolved those issues. Talk it out, describe the status very clearly so all the team will sense the problem and consequently they will be in your side.
2- Ask why we get here: try to know why we got late, why we have outstanding activities try to know the main cause, this will help you identifying the right actions to resolve the problems.
3- Listen to solutions: let you team to tell you solutions or workarounds which will compensate the wasted time in past activities, you might hear from them new technology which will save time in coming activities, merging some activities together to be done in one shot or swapping some activities between the team members due to past experience so they can finish it earlier. Finally you will find solutions through your team. In some cases the only solution available is crashing resources which will affect the cost on the other hand.
4- Communicate Formally: Do not ever hide that you are late, let stakeholders, senior management and business users know your status but not only a status it must be along with solutions. In this way they will be in your side supporting you to get back on track.
5- Rebaeline: if solutions were not very helpful to contain the delay and deliver in the same previously determined deadline, so you have to rebase line either the schedule to be extended or the scope to be reduced to the most priority if the deadline is very critical.
